File Sharing Private & Public Links

Within the Knowledge Base in your Capacity Console, you can easily share files of any type by sharing a link containing the files.

To share a file, follow the following steps:

  1. Open Knowledge Management on the left side of your console.

  2. Navigate to the file you want to share, located within your knowledge base.

  3. Click on the chain icon left of the author profile icon.

  4. Share your files via the public or private link provided.


Managing File Visibility

Internal Sharing (Private Links)

Use the private link to share the file with authenticated users, meaning that only authenticated users within your organization can access the link and view the file. This includes chat role users, and users who do not have access to the "console".

Please note that as of now, private sharing does not support granular role-based restrictions. Any user with a valid authentication will be able to access the file, regardless of their role.

External Sharing (Public Links)

To grant access to individuals outside of your organization, enable the Public Link toggle. Once activated, files can be accessed by unauthenticated users via the provided public URL.

You may also configure your global settings to default all future uploads to enable the Public Link option. Please note that this setting is not retroactive; it applies only to newly added files and will not modify the visibility of existing content.
