Embedding & Uploading KB Content into Articles
Overview
You can now embed files from your Knowledge Base directly into Articles. Instead of copying links or remembering exact file names, you can browse your KB, select a file, and insert it into your article in just a few clicks. Files can be displayed as an inline preview or as a hyperlink, depending on what works best for your content.
Embedding a File in an Article
To embed a KB file, open an Article in the editor and click the Embed File button in the toolbar. This opens the KB browser.
The KB browser uses a columnar view, similar to Mac Finder. Click into any folder to see its contents, and continue navigating until you find the file you want to embed.
Once you've selected a file, click Select to insert it into the article. The file will appear as an embed block in the editor.
Note: Only public files can be embedded in public Sites. If you are editing a private Site, you can embed both public and private files. If a file cannot be selected, a message will appear indicating it is private.
Uploading a New File from the Browser
You can also upload a new file directly from the KB browser without leaving the Article editor. Navigate to the KB folder where you want the file to live, then use the upload option within the browser. The file will be added to that folder in your Knowledge Base and can be selected for embedding right away.
Choosing How a File Displays
Each embedded file can be displayed in one of two ways on the published Site:
- Embed: The file renders as an inline viewer (for example, a PDF displayed directly on the page).
- Link: The file renders as a clickable hyperlink. You can optionally enter custom display text — if you leave it blank, the file name is used.
To change the display mode, click the Edit icon on the embed block in the editor. A settings panel will appear where you can switch between Embed and Link, and update the link text if needed.
Note: Embed mode is only available for supported file types (such as PDFs). For file types that cannot be previewed inline, only Link mode will be available.
How Embedded Files Appear on the Published Site
When a visitor views your article on the published Site, embedded files will render according to the display mode you selected. Files set to Embed will appear as inline viewers sized to the content. Files set to Link will appear as a hyperlink with the file name or your custom display text.
Removing an Embedded File
To remove an embedded file from an article, click on the embed block to select it and press Delete. The block will be removed cleanly without leaving any extra content in the article.
